Checklist: booking accommodation for installation teams in Augsburg
· 6 min read · Gnann Verwaltung GmbH

In short: If you are booking accommodation for an installation team in Augsburg, clarify five things before you enquire: team size and room allocation, dates including a buffer, vehicles, billing details and arrival time. With this information you will quickly get a suitable quote – and avoid the typical problems on arrival day: no parking, the wrong billing address, a locked door at 10 pm.
This checklist is for dispatchers, site managers, project managers and owners of trade businesses who regularly send staff out on installation jobs. It is based on our day-to-day experience of letting workers' rooms in Augsburg and works just as well for any other city.
Phase 1: Work out what you need – before you enquire
- How many people are travelling? Also plan for stand-ins, late arrivals or an extra site manager who is only on site for a few days.
- Who needs a single room? Foremen and site managers who write reports or make phone calls in the evening are better off in a single room. Crews who are used to working together often share a multi-bed room without any problems.
- Rooms or a whole apartment? From around four people, it is worth comparing with a complete workers' apartment. From seven people, a workers' house is an option. You will find a detailed comparison in our guide Workers' room or workers' apartment?.
- How long will the job really take? Take the construction schedule and add a realistic buffer. Extending is usually easier than cancelling early – clarify both when you book.
- Where is the site? Augsburg is a big city: depending on traffic, there are noticeable travel times between jobs in the north, for example towards Gersthofen, and in the south, for example in Haunstetten or around the Messe Augsburg. Tell us the work location when you enquire.
- Will the team work shifts? If part of the team sleeps during the day, separate rooms or a separate apartment are important.
Phase 2: The enquiry – what to include
The more complete your enquiry, the faster you get a reliable quote. At Monteurzimmer Augsburg, the booking form asks for the key details directly:
| Detail | Why it matters |
|---|---|
| Company and contact person with mobile number | Queries and arrival arrangements are handled faster |
| Type of accommodation | Room, apartment, studio apartment or house |
| Number of rooms and people | Basis for room allocation and price |
| Arrival date and length of stay | Availability and any long-stay terms |
| Vehicles (number, size, trailers) | so that parking is sorted in advance |
| Billing address, cost centre, project number | the invoice is right first time |
| Expected arrival time | to plan the key handover if it gets late |
Tip: for longer projects, ask straight away about special rates for long-term stays – Monteurzimmer Augsburg offers them.
Phase 3: Before arrival
- Pass the booking confirmation on to the team – with the address, contact person and the landlord's phone number (ours: +49 821 419028-28).
- Communicate the check-in time. At Monteurzimmer Augsburg, check-in is from 3:00 pm and check-out is by 10:00 am. If the team arrives later or earlier, arrange this in advance.
- Decide who sleeps where. Who shares with whom? A short list saves arguments on the first evening.
- Check vehicles and route. Find out in advance about the current rules for Augsburg's low-emission zone (Umweltzone) and roadworks along the way. The accommodation has fast connections to the A8 (Munich–Stuttgart) and the B17.
- Documents for workers from abroad. Posted workers from EU countries should bring their A1 certificate; in some sectors – such as construction – registration with German customs (Zoll) is also required. Check the current obligations in good time.
- What to bring, what is already there? A kitchen with hob, oven, microwave, fridge and crockery, Wi-Fi and TV are all provided; bed linen and towels can be booked as optional extras. Everyone should bring: ID, work clothes, slippers and food for the first evening.
Phase 4: On site
- Clarify on arrival: Where are the washing machine, the bins and the parking spaces? Who is the contact person if there are problems?
- Appoint one person in the team to take care of keys, house rules and contact with the landlord.
- Organise laundry: A washing machine is available, a tumble dryer on request. Bed linen and towels changed weekly can be booked as an optional extra.
- Plan for cleaning: Weekly cleaning of the accommodation can be booked as an optional extra. Either way, keep the kitchen and bathroom clean so there is no friction in the team.
- Cook for yourselves instead of burning through expenses: With a fully equipped kitchen, actual food costs drop considerably. Supermarkets and restaurants are nearby.
- Report changes early: Is a worker arriving later, is someone leaving early or is the project being extended? The sooner the landlord knows, the easier it is to adjust.
Phase 5: Departure and invoicing
- Stick to the check-out time (ours is by 10:00 am) or arrange a later departure in advance.
- Return all keys and leave the accommodation tidy.
- Check the invoice: company name, address, service period, number of people and nights, tax rate. Which details are needed for the input tax deduction (Vorsteuerabzug) is explained in our guide Deducting workers' accommodation from tax.
- Payment: at Monteurzimmer Augsburg by bank transfer or in cash.
- Note down what went well for the next project – then your next booking takes five minutes.
